The Administrative Assistant - PW Division is responsible for providing confidential administrative support to the Road Maintenance Division's Director, leadership and staff. Job Summary Manages multiple calendars and works with other assistants to coordinate schedules, prepare agendas and take meeting notes Creates, distributes, maintains, and archives routine and confidential electronic and hard copy records Arranges travel and tracks expenses for training and events Creates and manages forms, databases, and spreadsheets to facilitate employee information, including promotions, position changes, and vacancies Coordinates Union related activities and tracks related documents such as grievances, disciplinary documents, and actions Coordinates with confidential medical providers related to Commercial Driver's Licenses (CDL) and Physical Abilities Testing (PAT) scheduling, billing, and reports Tracks Labor and Industries (L&I) claims and performs case management Disseminates policies, procedures, memorandums, and notifications Coordinates and plans department and division events Coordinates department updates and submittals of organizational charts and other forms and reports as assigned Prepares recruitment materials and schedules job interviews for the Division Administers and coordinates employee onboarding with other County departments and divisions, including Human Resources Department, Public Works Human Resources, Risk, and with the relevant Unions Submits routing and tracking documents for elected officials and department leadership approval Completes special projects and tasks as assigned by division leadership
The successful candidate will perform a combination of basic and complex tasks assigned by, and on behalf of division leaders and staff. Additionally, this position requires someone with initiative, leadership, organizational, time management and multi-tasking skills. The successful candidate must also work effectively with a variety of technologies and software tools, including Microsoft Office (specifically, Outlook, Excel, Word, Access, Visio, and PowerPoint), Adobe Acrobat Pro, County financial and timekeeping systems, HR systems, online survey systems, and have experience routing documents for electronic approvals. This position will require someone with ability to: Change direction quickly and often in response to a dynamic work environment Accommodate and adapt to differing working styles and perspectives of diverse individuals Prioritize work and resources to complete projects on time and solve problems effectively Be proactive and work with minimal guidance

Work Schedule This position primarily works four (4) days per week, Monday-Thursday, from 6:30am-5:00pm. This is an in-office schedule. The work is performed at our Cathcart Way Operations Center near Snohomish. After an extensive training period and proven position proficiency, there may be occasional opportunities for remote work depending on scheduling, division needs, and performance. STATEMENT OF ESSENTIAL JOB DUTIES Provides administrative assistance to the division director and collaborates with division management team as needed. Acts as liaison between the Division Director, department staff, other departments and the general public; initiates appropriate action regarding requests for services or complaints; represents the director by communicating procedures, policies, programs and mission to county employees and the general public. Coordinates and schedules appointments and travel arrangements; maintains the Division Director's calendar; composes and formats letters, memos, forms and charts; upon direction and with general policy guidance, prepares a variety of correspondence, directives memoranda, reports, and other written material as required; researches and evaluates relevant information, forms conclusions and makes recommendations as appropriate; proofs and edits material submitted by others for signature and approval; prepares materials for presentations. Plans, organizes and coordinates meetings; takes minutes, transcribes, edits and finalizes minutes; coordinates the work of the Division Director's office. Minimum Qualifications A Bachelor's degree in Business Administration or Public Administration; AND two (2) years of increasingly complex administrative experience; OR, any equivalent combination of training and/or experience that provides the required knowledge and abilities. SUPERVISION The employee reports to a Division Director of Public Works. The director establishes objectives, priorities and deadlines.
