Position Overview

This role is designed for a highly capable, motivated, and growth-oriented individual to serve as the right hand to company leadership and manage day-to-day business operations across multiple markets. While the position begins as an Executive Assistant, it is strategically structured to grow into a Director of Operations (DOO) role.

Based in Denver, this role plays a pivotal part in coordinating with our Chicago office and helping manage the Las Vegas office. The right candidate will take ownership of systems, support real estate transactions, protect the team leaders' time and focus, and eventually direct the operational backbone of a high-performing, multi-city real estate organization. No travel is required.

Responsibilities

Real Estate Operations & Transaction Support
•Coordinate listings, photography, MLS input, and marketing preparation.
•Maintain daily operational systems, checklists, and workflows.
•Provide daily client updates and manage communication.
•Collect and organize feedback from showings.
•Coordinate with lenders, attorneys, title companies, inspectors, and contractors.
•Manage contracts, amendments, compliance timelines, and critical dates.
•Oversee logistics for open houses, signage, showing schedules, lockboxes, and repairs.
•Utilize tools such as KW Command, Mojo, ShowingTime, Sentrilock, CRT, and the company website.

Personal & Executive Assistant Tasks
•Run personal errands and coordinate household vendors (e.g., cleaners, landscapers).
•Book travel and accommodations, and manage calendars and appointments.
•Assist with the management of personal properties, investment properties, and Airbnbs.
•Organize personal events and handle thank-you notes, gifting, and vehicle deliveries (e.g., Turo coordination).

Client Care & Loyalty Programs
•Plan and manage client appreciation events and community engagement.
•Create and distribute newsletters.
•Execute the client touch program and coordinate the delivery of gifts.
•Manage social media messaging and implement brand-aligned marketing efforts.

Office & Team Management
•Maintain team schedules, internal documentation, and reporting systems.
•Track billing, invoicing, and manage spreadsheets and SOPs.
•Prepare listing presentations and team meeting materials.
•Organize accountability check-ins, meeting agendas, and office systems.

Qualifications

Qualifications & Skills
•Obsessive attention to detail and a systems-oriented mindset.
•Excellent written and verbal communication.
•Ability to multitask and operate with urgency, professionalism, and discretion.
•Highly proficient with Microsoft Office, CRM platforms, and business tech tools.
•Flexible, resourceful, and capable of managing multiple priorities across locations.
•Real estate experience preferred; license required or must be obtained within a set timeframe.
•High school diploma or equivalent required
•Familiar with Microsoft Word, Excel, and Multiple Listing Service
•Possesses discernment for working with confidential information and tight deadlines
•Strong interpersonal skills and time management skills
