Summary
The Parish Operations Director is responsible for the overall operational, fiduciary, and administrative functions of the parish. This includes oversight and supervision of the administration, facilities and technology teams. This position will work under the direct supervision of the Pastor in conjunction with the guidelines set forth by the Archdiocese of San Antonio and naturally employ a servant leader approach that positively reflects the mission of St. Joseph Catholic Church.
Position Responsibilities
Financial
Parish contact for financial institutions and the Archdiocese; ensuring compliance with all financial and contract reporting requirements for private and public funding, licensing, or regulatory agencies, as well as guidelines established by the Archdiocese.
Responsible for partnering with the Archdiocesan Business Office and parish bookkeeper in reviewing and analyzing the parish budgets, annual and standard reports, balance sheet, accounts receivable, accounts payable, and general ledger and reporting monthly to the Pastor, or as requested.
Assists in preparing monthly, quarterly, and year-end reports for parish, as well for the Archdiocese of San Antonio as needed.
Monitors budget to actual performance reporting monthly to the Pastor, or as requested.
Ensures maintenance of effective internal controls and processes to ensure compliance with federal, state, local laws, and Archdiocesan policies.
Assists Pastor in establishing and executing parish goals and objectives, including budget preparation and management, in collaboration with the Pastoral Council, Finance Council & ministry leaders and parish staff.
Responsible for overseeing the accurate and timely preparation of payroll and financial transactions including accounts payable, accounts receivable, banking and payroll reconciliations; ensuring each is properly recorded and submitted by required timelines.
Oversees the resolution of any accounting, payroll and/or financial problems or issues that arise for the parish.
Assists the Pastor in analyzing investment portfolio with external wealth management company(s).
Assists with financial stewardship and capital campaigns for the parish and Archdiocese.
Assist in preparing special financial studies as required.
Ensure proper preparation for any required audits.
Review all receipts and disbursements; ascertain correct account distribution and ensure all support documentation and approvals are in order.
Oversee and monitor the collection, counting, recording, and depositing of revenue from all sources.
Parish Ministries/Council Coordination
Collaborates with the Pastor, Stewardship Council, Finance Council, Pastoral Council, and staff in performing parish governance requirements.
Assists the Pastor in ensuring all communications amongst Pastoral staff, ministries, parishioners, and community organizations always reflect church practices and the parish’s mission, appropriately and accurately.
Assist Pastor in collaborating with parish ministries.
Operations Management
Supervises and oversees Administration, Facilities and Technology teams and responsible for all areas of performance including, but not limited to time & attendance, personnel issues, training/development and performance management.
Oversees the implementation of human resources efforts including organizational assessments, employee relations, compensation, training, and other efforts requested by the Pastor.
Responsible for all aspects of risk management which includes conducting assessments to reduce or address potential safety issues, risk and liability for the parish and for partnering with Archdiocese Risk Management team, as needed.
Makes complex recommendations requiring a thorough knowledge of the Organizations’ regulations, policies, and procedures.
Identifies and addresses any operational inefficiencies in procedures and processes and offers Pastor meaningful solutions; develops written protocols and operational procedures as needed.
Other Responsibilities
Responsible for protecting the confidentiality of all information or material obtained to include but not limited to employee information, parishioner data, services rendered, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory.

Requirements
Minimum Qualifications:
Bachelor’s degree in business, Accounting, Finance, or other related discipline required. Field-related experience may be considered in lieu of a degree.
Minimum of six (6) years’ experience in Operations Management.
Experience in supervising and managing employees.
Experience in managing vendors.
Bilingual preferred – English and Spanish.
Minimum Knowledge And Skills
Practicing Catholic; strong commitment to the mission of the parish and the Archdiocese of San Antonio.
Proven servant leader with a Pastoral approach to leading individuals and teams; excellent verbal and written communications, human relations, and interpersonal skills.
Experience in communicating with appropriate sensitivity and courtesy to employees, parishioners, and the public; demonstrated ability to recognize and honor diversity within the parish community.
Ability to work in a fast-paced environment.
Must have good written and verbal skills.
Must have good critical thinking and problem-solving skills.
Willing to work flexible hours, including evenings and weekends when needed.
Experienced user of financial, human resources and other systems and databases.
Must have good critical thinking and problem-solving skills.

Travel Requirements
Travel requirements for the position includes 10% local and 0% overnight.
