What You Will Do :
We are currently searching for an Office of Director Support Specialist. This role serves as the first point of contact for visitors and callers, manages daily office functions, coordinates travel and correspondence, and supports meetings and events, including CSR Council Meetings. The specialist ensures smooth front office operations, maintains essential records and supplies, and delivers responsive, professional service to internal and external stakeholders. This is a full-time opportunity located in Bethesda, MD.
Serve as front office receptionist: greet and screen visitors, manage calls, and provide visitor escort and coverage as needed.
Coordinate with the Administrative Office on security, facilities, and office supply inventory.
Deliver proactive customer service by handling routine inquiries and referring complex matters to OD staff.
Arrange travel and complete related documentation for OD personnel.
Track and assign controlled correspondence, ensuring deadlines are met.
Prepare and maintain office documents, including memoranda, spreadsheets, contact lists, and website content.
Support OD-hosted meetings with administrative and logistical tasks.
Provide overtime support during CSR Council Meetings, including pre-, during-, and post-meeting activities.
Participate in meetings and generate reports as required.
What You Will Need :
Bachelor’s Degree OR Associate’s Degree plus TWO (2) year of experience is equivalent to a Bachelor’s.
A minimum of SIX (6) years of experience
Excellent time management and multitasking skills.
Ability to maintain confidentiality and handle sensitive information.
Detail-oriented with strong follow-through on assignments and deadlines.
Willingness to provide overtime support during Council Meetings and other high-priority events.
Ability to adapt to shifting priorities and provide consistent front office coverage.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with scheduling, travel planning, and document preparation.
Familiarity with office equipment and administrative systems.
Must be able to OBTAIN and MAINTAIN a Federal or DoD "PUBLIC TRUST"; candidates must obtain approved adjudication of their PUBLIC TRUST prior to onboarding with Guidehouse. Candidates with an ACTIVE PUBLIC TRUST or SUITABILITY are preferred.
What Would Be Nice To Have :
Previous experience with NIH preferred.
Customer service-oriented with a proactive and courteous approach
Ability to manage multiple tasks, prioritize deadlines, and maintain accurate records.
The annual salary range for this position is $85,000.00-$141,000.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
