HR & Billing Administrative Assistant

We are seeking a detail-oriented and organized HR & Billing Administrative Assistant to support daily operations across Human Resources and Finance functions. This dual-role position is responsible for assisting with employee-related processes while also managing billing, invoicing, and collections activities. The ideal candidate is highly organized, discreet with confidential information, and comfortable working with both people and numbers.

Human Resources Duties

  • Assist with the recruitment process, including posting job openings, scheduling interviews, and coordinating candidate communications
  • Maintain employee records and ensure all HR files are accurate and up to date
  • Support onboarding and offboarding processes, including preparing new hire paperwork and conducting exit documentation
  • Track employee attendance, PTO, and leave records
  • Assist with benefits administration, including enrollments and employee inquiries
  • Ensure compliance with company policies and applicable labor laws
  • Support HR projects, employee engagement initiatives, and internal communications

Billing & Collections Duties

  • Prepare, review, and issue invoices to clients in a timely manner
  • Monitor accounts receivable and follow up on outstanding balances
  • Communicate with clients regarding billing discrepancies and payment status
  • Process incoming payments and maintain accurate financial records
  • Assist with collections efforts, including sending reminders and coordinating payment plans
  • Reconcile accounts and support month-end closing activities
  • Maintain organized financial documentation for audits and reporting
  • Collaborate with finance team to improve billing and collection processes

Qualifications

  • Associates or Bachelors degree in Human Resources, Business Administration, Accounting, or related field preferred
  • 12 years of experience in HR, accounting, or administrative support role
  • Strong understanding of basic HR practices and accounts receivable processes
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with HRIS and/or accounting software is a plus
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organizational skills
  • Ability to handle sensitive and confidential information with discretion

Work Environment & Schedule

  • Full-time position (40 hours per week)
  • Standard business hours, with occasional flexibility as needed
  • Pay Range between $20 - $25/hour DOE
