The Opportunity
This role is on a hybrid schedule in our Charlotte, NC office most days each week with one remote day weekly. We are seeking a highly organized and proactive Executive Assistant to support the Executive Director – Operational Risk & Resilience in a dynamic and fast-paced financial services environment. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple priorities efficiently. This role is crucial in ensuring the smooth operation of the Executive’s office and involves a wide range of administrative and strategic support tasks. The Work Itself
Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for 2 or more Executive Directors within the Ally Risk organization. Prepare and organize meeting materials and presentations. Support meeting coordination, including scheduling, preparing agendas, and following up on action items. Manage incoming communications and prioritize them for the Executive Directors’ attention. Communication: Prepare and proof correspondence, reports and other written material and prioritize work assigned to meet individual goals of the Executive(s). Serve as the primary point of contact between the Executive Director and internal/external stakeholders. Handle correspondence, including emails and phone calls, with professionalism and confidentiality. Project Management: Assist in the planning and execution of projects and initiatives supporting the Executive(s). Track project timelines, deliverables, and ensure deadlines are met. Documentation: Prepare, review, and edit reports, presentations, and other documents. Maintain accurate records and filing systems. Event Coordination: Organize and coordinate events, meetings, and conferences. Handle logistics, including venue selection, catering, and technology setup. Relationship Management: Build and maintain strong relationships with key stakeholders, both internally and externally. Facilitate effective communication and collaboration across departments. The Skills You Bring
Bachelor’s degree preferred in Business Administration, Finance, or a related field preferred. 3+ years of proven experience as an Executive Assistant or in a similar role, within the financial services industry preferred. Strong organizational and time-management skills with the ability to prioritize tasks effectively. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive information with discretion and maintain confidentiality. #LI-Hybrid How We'll Have Your Back
