Executive Assistant to the Director of Operations

Job Overview: This role is responsible for planning and organizing projects for the Director of Operations in support of organizational goals and acts as an extension of the office of the Director of Operations, maintaining high levels of confidentiality and professionalism. This role requires an individual who operates with an anticipatory and proactive approach and maintains a solution-oriented mindset.
The candidate for this position will be responsible for:
Assisting the Director of Operations to keep on top of tasks, appointments and meetings while ensuring work is completed timely and effectively.
Serving as the bank’s Audit Committee Administrator by preparing and distributing meeting agendas, notices and supporting documents.
Recording accurate minutes of the Audit Committee meetings and tracking follow-up
Managing files and operational division information.
Annual budget planning preparation.
Dictation, proof reading/editing of internal materials and documents related to audits or Board reporting.
Supply ordering and other administrative tasks, as identified.
Requirements for the position include:
Bachelor’s degree in business related field (waived in lieu of experience).
Strong verbal, written and organizational (multitasking) skills.
Strong computer skills.
Minimum two years executive level office support experience.
Ability to work flexible and/or late hours.
Occasional off-site, overnight, air, and/or road travel.
Preferred qualifications for the position include:
Minimum two years in the financial services industry.
