Position Summary
We are looking for a highly capable and well-organized Executive Assistant to provide comprehensive support to the Managing Director (MD) - Global Projects located in Nashwauk. This is a strategic position, playing a vital role in ensuring smooth daily operations, calendar management, and effective coordination across multiple stakeholders, both internal and external.
In addition to traditional executive assistant duties, the role requires a strong understanding of project workflows, reporting requirements, and comfort in working with technical data and project documentation. This role is ideal for someone who has experience supporting senior leadership in a project-driven environment and is confident interacting with cross-functional teams.
Job Responsibilities
The Executive Assistant will be responsible for the following:
1. Executive Support:
Manage the Managing director’s daily calendar, appointments, and travel logistics.
Proactively identify scheduling conflicts and optimize meeting slots based on priorities.
Prepare meeting agendas, take minutes, and track action items for follow-up.
2. Stakeholder Coordination:
Act as the main point of contact between the Managing Director and various internal departments, contractors, and external stakeholder (engineering, procurement, finance, site operations).
Follow up on pending decisions, documentation, and updates with different teams.
3. Documentation & Communication:
Draft and format official communications, reports, and correspondence.
Maintain a structured system for document control and access (emails, meeting notes, contracts, schedules).
Ensure timely submission of reports and updates required for leadership reviews.
4. Data & Presentation Preparation: Create high-quality Power Point presentations, project summaries, and dashboards for management review meetings and promoters’ reviews.
Support the Managing Director in reviewing project progress reports and converting technical updates into concise, stakeholder-friendly formats.
5. Technical Understanding: Understand basic technical aspects of the project (training will be provided as needed).
Assist in reviewing project planning schedules, progress trackers, and milestone charts.
Communicate technical updates in simplified language to key non-technical stakeholders.
Skills and Qualifications
Minimum 5 to 8 years of experience as an Executive Assistant or Project Coordinator supporting senior leadership in a large industrial, mining, or infrastructure project.
Exposure to project environments; ideally in construction, manufacturing, mining, energy, or infrastructure sectors.
Strong knowledge of project management tools (MS Project, Primavera, or similar).
Excellent written and verbal communication skills. High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask, prioritize, and work under pressure in a dynamic project environment.
Good understanding of project planning basics, milestone tracking, and reporting structures.
Excellent written and verbal communication skills.
Strong organizational and time management skills; able to manage multiple tasks with changing priorities.
Ability to handle sensitive information with confidentiality and discretion.
Education
Bachelor’s degree in engineering, Business Administration, or related field (MBA/Project Management certification preferred).

Salary Range :
$65,000 - $80,000 annually, depending on experience and qualifications.
