The Executive Administrative Assistant supports the Office of the Chairman, President, and CEO, partnering closely with the Sr. Executive Assistant to ensure seamless operations and alignment with strategic objectives. This role requires strong judgment, impeccable organization, clear communication, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
- Provide comprehensive administrative support to the CEO and leadership.
- Manage complex calendars; schedule internal/external meetings across time zones; prioritize requests.
- Prepare, edit, and format correspondence, presentations, and executive-ready materials.
- Input and maintain contact lists, spreadsheets, and internal systems to keep information current and accessible.
- Provide project support, including tracking tasks, timelines, and follow-ups.
- Maintain files and records; manage office supplies and mail distribution.
Travel Support:
- Work closely with market coordinators to compile and provide comprehensive detailed information for market and event travel.
- Research, coordinate, and book travel (coordinate with in-house aviation and utilize internal travel portal); create detailed itineraries and trip briefs in a timely manner.
- Provide real-time support during travel; resolve issues promptly.
Communication & Collaboration:
- Serve as a liaison among executives, board members, associates, and external stakeholders, including clients and partners.
- Act as a point of contact for calls and emails; triage, draft responses, and route items for timely follow-up.
- Maintain distribution lists; support clear communication and timely closure of commitments.
Meetings & Event Management Support:
- Book conference rooms; manage room setup/breakdown; prepare agendas, materials, minutes, and dissemination of materials.
- Provide onsite support for board and executive leadership meetings.
- Provide support to coordinate logistics, vendors, and resources to ensure smooth execution.
- Process expense reports and invoices; reconcile corporate card activity related to travel and events.
Project Support:
- Provide project support upon request.
- Build simple timelines and checklists; monitor milestones, dependencies, and risks.
- Maintain templates, status updates, and documentation; escalate issues and drive follow-ups to completion.
Qualifications:
- Bachelor's degree in business administration or related field preferred.
- Proven experience as an executive assistant (C-suite support strongly preferred).
- Strong proficiency with Office 365 (Outlook, Word, Excel, PowerPoint), Teams, SharePoint, meeting/document tools; experience with travel/expense systems (e.g., Concur or similar).
- Exceptional organization and time management; ability to prioritize under tight deadlines.
- Excellent written and verbal communication; meticulous attention to detail.
- Discretion and integrity in handling sensitive information; strong client-service orientation.
- Demonstrated ability to solve problems, anticipate needs, and implement effective solutions.
