Job Description:
The position is responsible for the administration of student enrollment for Polk State College and for the planning, organizing, implementing, supervising and development of all admission and registration. This Director will develop and administer policies, procedures and related technologies related to enrollment on all campuses and sites of Polk State College. This position requires the analysis of complex problems, planning of various interrelated activities, and the coordination of multiple projects or functions. It will also require major decision making that involves complex factors, which may be difficult to evaluate.? It will require data development and recommendations influencing decisions on long-term programs and policies.
Examples of Duties
Essential Functions/Duties:
- Maintain regular attendance.
- Manage the District budget.
- Oversee the daily computer systems processes of the Admissions, Registrar's office and Student Services offices on all campuses and centers, including enrollment activities, admission processing, registration, graduation, student records, transcripts, veteran's services, and student database management.
- Coordinates procedures concerning all the above with Deans and Directors in Student Services.
- Authorizes the release of student records to outside agencies in accordance with PSC Rule and Procedures, state, and federal laws.
- Collaborates with faculty, Student Service Deans, Academic Deans, and senior administrators on effective means of registration, course scheduling, award of credit, and student enrollment for the college.
- Monitor, evaluate, implement, and draft revisions to college and division procedures.?
- Interview applicants for staff openings and recommend selections for hire. Plan, schedule, and assign staff within District Admission and Registrar's office.
- Manage and direct the student information center including hiring, training, evaluating, and assessing the College's need and success of the information center.
- Direct all initiatives related to student and enrollment services.
- Review current issues related to student service administration.
- Participate in state and national professional associations and conferences.
- Ensure availability of student services information to the public.
- Oversee the creation and maintenance of all forms and documents associated with the Admission and Registrar's office.
- Serves as a member and/or resource person on various college committees.
- Monitor work-flow processing of all activities and functions associated with the Admission and Registrar's office (applications, transcript requests, enrollment certification, etc.).
- Manage the transcript evaluation and course substitution process for the College.
- Evaluate, interpret, and apply residency guidelines.
- Administer documentation/credentials policy required of students.
- Provide leadership for and initiate new process improvements workflow changes, and procedural updates in advising, testing, admission, and registration areas of the College.
- Provides leadership in the planning, design, and implementation of computerized systems to serve enrollment and records management.
- Audit the computer systems function and data input.
- Supervise student record management and retention plan for the entire college to remain in compliance with college, state, and federal regulations.
- Direct assessment activities for student and enrollment services.
- Serves as the college's FERPA compliance coordinator.
- Reviews state reports regarding trends and potential PSC rule and procedure issues as they relate to the results of state and federal audits or legislative changes.
- Develops and facilitates staff development opportunities.
- Manages the planning and facilitation of the graduation ceremonies.
- Manages the catalog production and publication process.
- Manages the implementation of articulation agreements.
- Other projects as assigned by the Senior Vice President and Student Services.

- Supervisory experience in a higher education setting.
- Knowledge of the Florida education system preferred.
- Knowledge of principles and practices of academic registration and admissions process including degree and program requirements, continuing education, counseling, financial aid, and articulation provisions.
- Knowledge of student database management systems.
- Experience in policy and procedure development.

Salary and Benefits Information
- This position is level P18.
Required Education
- Bachelor's degree from a regionally accredited college or university is required.
Preferred Education:
- A master's degree in education, education administration, student personnel, or a related degree is preferred.
Required Experience
- Five (5) years of experience in professional work within a college or university registrar or admissions office.
- Three (3) years at the supervisory or administrative level is required.
Preferred Experience:
- Experience in a Florida public college or university and some experience with SQL or other programming knowledge is preferred.
