The Meadows Mental Health Policy Institute (Meadows Institute) seeks a collaborative and strategic professional to serve as Director of Sponsored Programs Administration (Director). The Director will support the work of the Vice President of Sponsored Programs Administration. The Director will collaborate with staff, contractors, partner agencies, and stakeholders to assist with the management of sponsored awards from budget development and proposal submission, through ongoing compliance and expense monitoring, and ultimately final reporting and close out. This position may not be filled or performed in California, Colorado, Hawaii, Montana, Rhode Island, or Washington at this time. Statewide travel (up to 10%) may be required. Some duties may require access to reliable personal transportation.


Responsibilities:

  • Assists with the development of new proposals by drafting budgets and gathering financial supporting materials.
  • Presents budgets and expenditure reports to project leaders including the CEO.
  • In collaboration with Contracts team, assists with completion and routing of internal paperwork and disclosures.
  • Assists sponsored project leaders across the Institute with the budgeting process for grants and contracts including initial award acceptance, periodic revisions, and implementation.
  • Provides regular expenditure forecasts for project leaders.
  • Performs regular variance analysis of sponsored accounts and works with project leaders and the Accounting team to resolve any discrepancies.
  • Reviews purchases, payments of services, and reimbursements of expenses charged to grants. Monitors posted expenses for allocation to correct accounts.
  • Assists with preparing financial reports per sponsor requirements.
  • Assists with maintaining and updating the staff effort tracking report to ensure compliance with sponsor time and effort policies.
  • In collaboration with Contracts and Philanthropy teams, maintains accurate records in Salesforce database to track award activities.
  • Other duties as assigned.
Requirements:

Required Qualifications:

  • Bachelor’s degree required; Master’s degree preferred or comparable experience.
  • 5+ years of previous grant administration experience.
  • Experience in grants management over the entire life cycle: submission of proposals, ongoing compliance with sponsor terms and conditions, effort and budget tracking, and close out.
  • Experience with government agency and private foundation grant reporting requirements.
  • Experience with financial and budgetary principles including the federal Uniform Guidance.
  • Experience with fee per service contracts and deliverables-based payment agreements.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently as well as collaboratively with colleagues. This includes overcoming geographic and other potential barriers to communicating with and making contributions to the team’s work.

This position may not be filled or performed in California, Colorado, Hawaii, Montana, Rhode Island, or Washington at this time. Relocation assistance not available. Successful candidates must show proof of eligibility to work in the United States.
