JOB TITLE: Director of Operations
FLSA STATUS: Exempt, Salaried, Full-Time
HOURS: Monday to Friday, 8AM-4PM (occasional nights and weekends required, flexibility required to meet the needs of the departmentand position)
LOCATION: Pottstown, PA
SUPERVISOR: Vice President of Social Services

WHAT WE ARE LOOKING FOR: Seeking a proactive and knowledgeable Director of Operations who will apply a comprehensive facility management strategy to oversee the day-to-day operations of 4 multi-purpose human services and recreational buildings. The ideal candidate will have experience in preventative maintenance, inventory management, contractor & service provider coordination, managing mechanical and utility outages, and repair/replace project management. Knowledge of life safety, OSHA, and building code required. Must be a front-line manager with above average computerized maintenance and incident management system competency (generate time & expense reports, document project & task hours, update project plans, input and retrieve consistent & qualitative data) The Director of Operations manages a team of part-time and full-time staff, as well as supplemental staff from third-party work programs and volunteers.
WHAT YOU’LL BE DOING:
Manage Operations staff by recruiting, training and coaching employees, communicating job expectations, appraising performance, and providing disciplinary recommendations
Manage assigned priorities and personnel to complete daily task queue and building improvement projects
Utilize preventative maintenance best practices to prolong equipment lifespan, prevent catastrophic failures, and preemptively identify and address emergent issues before equipment fails or reaches end of life
Coordinate and schedule inspections and audits to ensure buildings and workspaces maintain high availability, legal/regulatory compliance, and adhere to safety standards
Utilize computerized maintenance & inventory system to monitor key metrics for day-to-day operations to ensure efficient and timely completion of tasks
Act as primary point of contact for escalated issues, meeting and coordinating with vendors, service providers, contractors and 3rd parties
Coordinating with department leaders and building tenants to ensure equitable and efficient resolution of concerns and requests
Create, submit, and archive purchase orders, procurement, expense tracking and reconciliation for Operations & Facilities Department purchases
Manage inventory of building mechanical spaces, facilities, HVAC, tools, vehicles, and materials
Participate in job-related professional development, continually enhance skills and knowledge of the organization’s needs and stay ahead of potential issues
Routinely survey and audit buildings for safety hazards, unlocked doors, or failing equipment; reports deficiencies to DOIT, documents in inventory, and participates in planning and budgeting process for upgrades or replacement
Utilize YWCA’s computerized emergency alert system
Act as point of contact and front line supervisor for urgent and after hours incident requests
Other duties as assigned within the scope of position expectations.
WHAT YOU’LL BRING TO THE POSITION:
Ability to work independently, in a fast-paced environment while managing time efficiently
Proven ability to work cooperatively with clients, staff, and volunteers of all ages, ethnic backgrounds, and socioeconomic levels
Excellent communication skills in English – both oral and written and ability to utilize communication skills in both internal and external environments
Professional and effective use of email, phone systems, and business computer information systems and hardware
Ability to use computerized time logging, tracking and report management system to collect and display time and expense for incident resolution and project progress
Strong time management skills and attention to detail, accuracy of data entry & organizational skills
Ability to perform quality inspections and ensure Operations Team adheres to established protocol, standards, and schedules
Strong knowledge of safety hazards and regulations (ADA, Fire Code, OSHA, etc.)
Ability to perform basic repairs and operate tools or equipment used in routine maintenance.
Understanding of YWCA’s mission, goals, and objectives and ability to work independently with a high level of energy and contribute as a part of a larger team.
May require working non-traditional hours based on operational needs for scheduled events
Education/Experience:
High School Diploma or equivalent required.
5 years of supervisory and oversight responsibilities.
Must be willing to submit to background checks, in accordance with local laws and regulations.
Current Health Assessment and TB test.
Must have a valid driver’s license – position will require travel between all YW3CA locations.
Physical Requirements:
Prolonged periods standing.
Must be able to lift, bend, stoop, climb, reach, and lift up to 50 pounds at a time.
