REPORTS TO: Senior Director of Development and Outreach
JOB OBJECTIVE: The Director of Donor Database is responsible for the overall health and functionality of the organization’s donor database. This role involves gift processing, data maintenance, advance reporting, and user training. The Director works closely with the Development and Finance teams to leverage data for effective fundraising strategies and to ensure data integrity and security.
The essential job duties include but are not limited to:
- Write and manage grants for the organization for restricted and unrestricted support. Track and manage all grant reports.
- Research and identify all grant opportunities including managing the grants calendar.
- Work with contract grant writer, program staff, and finance to complete grants.
- Work with the Senior Director of Development and Outreach to build relationships with all private foundations and will as corporate foundations to ultimately secure funding.
- Manage donor database - classification of gifts, gift recording, generation of monthly reminders, generation of ACH/recurring debit reports, credit card transactions, campaign posting and end of the month reports.
- Manage donor data health through the implementation of address finder, death finder, email finder, wealth management, and other tools that are available.
- Report generation – creation and tracking of donor mailings and donor reports as needed by the Senior Director of Mission Advancement and Executive Director.
- Coordinate with team members to ensure appropriate form production for donations.
- Adhere to the AFP’s “Donor Bill of Rights.”
- Campaign and receivables reconciliation with general ledger balance.
- Assist with preparation of correspondence to donors.
- Track all memorial and honor gifts - send proper acknowledgement letters to donors and family members.
- Coordination of grant applications with development and program staff.
- Research, identify, vet, and pursue grant opportunities.
- Track grant report requirements and submit reports to grantors at appropriate times.
- Contribute to Mission Advancement team environment by supporting all events and fundraising/outreach activities.
- Process and manage all vehicle donations.
- Assist donors with inquiries regarding the status of pledges or donations.
- Generate and mail end-of-year tax statements to donors.
- Adhere to the fundraising policy set forth by the Board of Directors.
- Along with the Development and Donor Database manager, oversee volunteers assigned to gift entry for campaigns.
- Research, compile, tabulate, analyze and interpret data and information.
- Other duties as assigned by the Senior Director of Development and Outreach.
SUPERVISORY RESPONSIBILITIES:
This position will supervise the Development and Donor Database Manager and should expect to coordinate and supervise volunteers for large giving events such the annual campaign.
MINIMUM QUALIFICATIONS FOR CONSIDERATION:
- 3+ years of experience in database management, preferably in a nonprofit fundraising or development environment. Experience supervising a team is often required for managerial roles.
- Bachelor's degree or equivalent experience in a related field is typically required.
Knowledge, skills and abilities:
- Expertise with major donor CRM software (e.g., Raiser's Edge, Salesforce NPSP, DonorPerfect).
- Advanced proficiency in Microsoft Excel for data manipulation and analysis.
- Experience with integrated software and marketing tools (e.g., Omatic, Mailchimp) is a plus.
- Ability to analyze data and translate it into actionable insights.
- Impeccable accuracy is critical for maintaining data integrity and gift processing.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong verbal and written communication skills to train users, present reports, and interact with colleagues.
PHYSICAL REQUIREMENTS
This is sedentary work that requires the following physical activities:
- Sitting for long periods of time, walking, finger dexterity, feeling, repetitive motions, talking, hearing, and visual acuity.
- Occasional lifting (up to 10 pounds of computer equipment or paper supplies).
- May be required to travel by car or plane to business events or other company locations. Travel may require prolonged sitting or standing.

WORKING CONDITIONS:
