Summary: The Director of Administration provides strategic leadership, operational oversight and integration of the organization’s accounting, finance, mission advancement, and strategic planning. Reporting to the president, the Administration Director is responsible for helping advance MACC's mission by effectively supporting the management of its diverse programs, coordinating cross-departmental efforts, maintaining compliance with institutional policies and external regulations, ensuring financial transparency and sustainability, and leading a dedicated team. This pivotal role requires a visionary and team-minded leader with a strong background in nonprofit management, strategic development, oversight, and financial expertise. The Director of Administration plays a key leadership role in ensuring that the operations of the college reflect and support its mission and values. The role requires a strategic thinker with a strong service orientation, excellent organizational abilities, and a commitment to fostering a mission-driven campus culture.
Requirements Position Responsibilities:
1. Financial Oversight and Mission Advancement
Ensure the financial health and sustainability of the organization.
Oversee the development and management of the annual budget, financial reporting, and audit processes.
Work closely with the Business Office to monitor budgets, approve expenditures, review check issuance, and seek efficiencies.
Assist departments in developing and managing their budgets.
Support financial compliance and reporting requirements in coordination with auditors and Business Office personnel.
Support the Programs Leadership in ensuring all programs are delivered effectively, efficiently, and in compliance with applicable regulations and funding requirements.
Support the President in fundraising and resource development efforts, including grant writing, cultivating individual and corporate donors, and exploring innovative financing mechanisms.
Maintain an internal audit process.
2. Administration, Policy Implementation & Institutional Compliance
Ensure administrative adherence to internal policies, accreditation standards, and federal/state regulations (e.g., FERPA, Title IX, ADA).
Develop and update internal sound organizational administrative policies and procedures.
Coordinate annual reviews of internal controls and risk management processes.
3. Communication & Executive Support
Draft institutional memos, procedural documents, and reports as needed.
Maintain calendars and schedules for key leadership as required, i.e., auditor scheduled visits, donor visits, board communication calendar, quarterly financial reports.
Work closely with the President as the president supports the Board of Directors to facilitate effective governance and strategic oversight.
Provide regular, transparent reports for the president to review and submit to the Board on organizational performance, finances, and strategic initiatives.
4. Leadership, Strategic Planning and Implementation
Lead the strategic planning of the school so that it is aligned with MACC's mission and the strategic goals are implemented.
Work with the President to implement strategic short- and long-term organizational goals, plans, objectives, policies, and operating procedures.
Provide visionary leadership to the staff ensuring alignment with MACC's mission and strategic goals.
Lead the development, implementation, and evaluation of the organization's strategic plan in collaboration with the President and staff.
Oversee the Business Office and the Communications and Mission Advancement Office.
Foster a positive, collaborative, and results-oriented organizational culture.
Keep abreast of trends, best practices, and policy changes in education and nonprofit management.
5. General
Adhering to safety training and protocols on a daily basis and taking precautionary measure to ensure the safety and well-being of self, others.
Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory.

Minimum Qualifications:
Education:
Bachelor’s degree in business administration, Operations, Non-Profit Management, Accounting, Finance, or other related discipline. Master's in Business Administration or related field preferred.
Experience:
Minimum of seven (7) years’ experience in Management directing and managing administrative functions.
Minimum of six (6) years’ experience in accounting.
Demonstrated experience in managing grant-funded programs.
Strong financial management skills, including budgeting, financial analysis, and nonprofit accounting.
Successful experience in fundraising, grant writing, and donor cultivation.
License and Credentials:
Reliable transportation
Valid driver license
Valid vehicle insurance
Minimum Knowledge and Skills:
Bilingual in English and Spanish preferred.
Exceptional leadership and interpersonal skills, with the ability to inspire and motivate staff, Board members, and partners.
Strong strategic thinking, problem-solving, and decision-making abilities;
Excellent communication skills, both written and oral, with the ability to effectively engage diverse audiences;
Thorough understanding of nonprofit governance, compliance, and best practices;

Solid understanding of and ability to adhere to General Accepted Accounting Principles (GAAP) preferred· Thorough understanding of operations policies and practices;

Travel Requirements:
Travel requirements for the position include up to 15% local and 5% overnight.
