The Director of Academic Affairs Operations oversees the administration of academic operating budgets and endowed funds, academic office and lab spaces, academic staff personnel processes, and resources within the Academic Affairs division. The Director has frequent interactions with Human Resources, Business and Finance, and Administrative Services staff, as well as Academic Affairs leadership, staff, faculty, and students. Required Qualifications Bachelor’s degree received by the start date of the position. Experience/training in financial/personnel operations. Familiarity with Banner, Travel Incorporated, PeopleAdmin, and TigerExpress eProcurement systems. Strong ability to work independently and as part of a team. Ability to advise and counsel students, faculty, and staff. High level of discretion, ability to maintain high level of confidentiality, and work with restricted-access data or information. Willingness to propose or learn new systems that will make Academic Affairs a more efficient and effective division. Diplomacy, professional appearance and demeanor, and excellent attendance. Preferred Qualifications Experience working within an academic administrative office preferred but not required. Project management training preferred but not required. Required Knowledge, Skills, and Abilities Advanced technical and computer skills to support administrative functions, including Microsoft Office Suite with an emphasis on Excel spreadsheet, database, and email programs. Excellent project management skills, strong attention to detail, and ability to multi-task with demanding timeframes. Excellent analytical and writing skills. Strong problem-solving skills using sound judgment within appropriate Academic Affairs and College policy parameters. High responsiveness to students, faculty, or staff concerns. Strong communication and interpersonal skills allowing effective rapport with all levels of faculty and staff. Physical Demands Limited physical effort required. Limited exposure to physical risk. Work is normally performed in a typical interior/office work environment. Key Responsibilities: Administer Office of the Provost budgets and funds by: Monitoring OTP budgets and related endowed or restricted funds. , Processing regular and discretionary expenses authorized by the Provost. , and Ensuring Academic Affairs compliance with College budget, expense, and travel policies and procedures. Oversee Academic Affairs staff personnel processes by: Approving Academic Affairs personnel action forms authorized by the Provost. , Processing personnel-related processes affecting Academic Affairs faculty and staff. , and Convening periodic meetings of Academic Affairs staff to advance professional development, disseminate information, and maintain sense of community. Address Academic Affairs’ space needs by: Supervising the upkeep and enhancement of academic offices and spaces through coordination with Campus Operations, Information Technology Services, designated staff monitoring academic building functioning, and the Provost. and Working with Division Deans to assign or reassign academic offices to maximize efficiency and effectiveness of Academic Affairs units. In consultation with the Provost, implement faculty letters of appointment and secondary appointments by collaborating with Business and Finance, Human Resources, Payroll, and Division Deans.
