General Function
Performs a variety of duties and administrative tasks for FTE audit compliance including the implementation of quality assurance measures for improved internal controls.
Duties and Responsibilities
1. Provides leadership, direction and training for overall preparation and transmission of the Full-Time Equivalency (FTE) Curriculum and Continuing Education Institutional Class Reports, including training to improve overall customer service and facilitate cross-training of staff.
2. Directs the daily operations of the Enrollment Reporting Office, including supervision of assigned full time and part-time staff and management of the departmental budget.
3. Maximizes revenue by ensuring accuracy in FTE data and resolves issues when necessary; assists with the input of class attendance roster data; provides guidance with the Central Piedmont Attendance System questions and improvements; Monitors progress of projects and reviews finished tasks. Provides training for employees at other NC community colleges concerning Central Piedmont attendance rosters, attendance systems, and the FTE reporting procedures used in the Compliance and Audit Office.
4. Conducts seven required compliance reviews each term as they pertain to FTE reporting and the Accountability & Credibility Plan for Continuing Education/Basic Skills.
5. Evaluates and resolves any issues in the review of NCCCS program audit reports.
6. Serves as key resource for departments regarding Instructional Service Agreements, Accountability & Credibility Plan and issues replacing to educational services for enrolled minors.
7. Follows-up on outstanding agreements to mitigate risks to the College.
8. Evaluates compliance with the State Board of Community Colleges Code.
9. Reviews and updates the College's required Accountability & Credibility Plan for Continuing Education and Basic Skills.
10. Prepares, generates, and maintains reports, ensures adequate documentation, write queries and ensures reporting deadlines are met; assists other internal clients with decision-making processes. Identifies opportunities for enhancements to reports and programs used.
11. Researches and evaluates program audit/FTE reporting procedural changes as they relate to the Colleague System.
12. Acts as liaison with State offices for institutional class reports and program audits. Responds to State inquiries. Ensures only eligible FTE are reported to State to minimize audit findings; offers solutions to problems and challenges.
13. Acts as key contact for the NCCCS education program auditors and collects and summarizes data for the annual State audit.
14. Directs the management of FTE reporting documentation for approximately 9,000 class annually, necessary for annual audit requirements.
15. Serves as web ambassador for the Enrollment Reporting Office.
16. Other duties as assigned.
Minimum Requirements and Preferred Qualifications
Bachelor's degree in business administration and 3 years of experience, or an equivalent combination of education and experience
