Qualifications:

High school diploma or equivalent. Some college preferred.

Two or more years of experience in a comparable position.

Must meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.

Such alternatives to the above qualifications as the Board may require.

Required Knowledge, Skills, and Abilities:

Comprehensive knowledge of office management, office procedures, correspondence, scheduling, reporting, and business communication.

Demonstrated ability to work independently, make policy interpretations, and supervise subordinate personnel as assigned.

Ability and skills to operate computers.

Ability to be effective and efficient with computer programs for word processing, records management, spreadsheet operation, presentations, databases, and others necessary for the performance of job responsibilities.

Ability to communicate clearly with the public and employees.

Ability to work well with others.

Ability to work effectively under minimum supervision and to follow instructions.

Ability to be confidential.

Ability to organize and maintain accurate records.

Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensity work environment.

Job Goal:

To ensure the smooth and efficient operation of the superintendent so that the schools and the public of Lanett City Schools may be better served.

To assist school system administrators by performing efficient office management, correspondence, problem-solving, organizational, and clerical tasks.

Performance Responsibilities and Essential Functions:

Produces, records, and responds to correspondence, research, reports, notices, recommendations, and materials needed for efficient office operations.

Maintains electronic and non-electronic filing systems of needed reports, correspondence, information, confidential records, records, schedules, and data as directed.

Obtains, gathers, organizes, and prepares for presentation pertinent data and information as needed.

Maintains schedules of appointments, meetings, conferences, deadlines, and tasks for the efficient operation of the administrator's office and responsibilities.

Communicates effectively and manages office communication processes as directed using telephones, voice mail, electronic mail, postal, and/or delivery services, intra campus delivery and other means as directed.

Monitors and informs administrator(s) of due dates, the status of ongoing projects, potential office-related problems and recommendations for improved office operations.

Orders and maintains needed office supplies.

Arranges for technical support, servicing, and effective operation of office technology and office machines.

Attends and participates in meetings as directed.

Takes and transcribes dictation as needed.

Maintains confidentiality regarding school/workplace matters.

Models and maintains high ethical standards.

Demonstrates initiative in the performance of assigned responsibilities.

Maintains expertise in assigned areas to fulfill project goals and objectives.

Participates successfully in the training programs offered to increase skill and proficiency related to assignments.

Keeps the supervisor informed of potential problems or unusual events.

Responds to inquiries and concerns in a timely manner.

Serves on school/system committees as required or appropriate.

Exhibits interpersonal skills to work as an effective team member.

Demonstrates support for the school system and its goals and priorities.

Demonstrates initiative in identifying potential problems or opportunities for improvement.

Performs various related office duties as assigned.

Prepares, reviews, and submits reports to state and federal agencies electronically or non-electronically as directed.

Follows attendance, punctuality, and proper dress code.

Assists Superintendent, Board of Education Members, and District Administrators by performing highly responsible secretarial duties, which include but are not limited to typing, responding to telephone calls, maintaining files, scheduling appointments, etc.

Performs the customary office routines and practices associated with a busy yet productive office. Supports and assists the Superintendent in providing quality services and communication to Students, Staff, Principals, Board Members, and the Community.

Maintains a friendly, cooperative, collaborative, and helpful attitude, demeanor, and professional relationship with all staff and colleagues of the school district and community.

Schedules reservations and completes registrations as required for the Superintendent and Board Members to attend conferences, conventions, meetings, etc.

Assists other Professional staff members as directed by the Superintendent.

Assists with the maintenance of personnel records as needed.

Maintains the Board Policy Manual.

Reports regularly to the Superintendent on any developments or problems within the district coming to his/her attention and requiring the Superintendent's awareness or action.

Coordinates and manages all aspects of the Board of Education meetings, including developing the annual meeting calendar, preparing agendas and supporting materials, and ensuring all logistical and compliance requirements are met.

Perform other duties as assigned.

Terms of Employment:

The terms of employment shall be in accordance with the Board's salary schedule.

Evaluation:

Performance of this job will be evaluated annually in accordance with provisions of the Board's performance assessment policy for support personnel.
