Associate Director Of Campus Facilities Maintenance & Operations

The Associate Director of Campus Facilities Operations is responsible for the day-to-day management and planning of all campus facilities maintenance operations and central office functions to ensure an operational and safe campus environment. This leadership role ensures that the physical environment of the University supports the institutional mission through the effective maintenance, operation, and continuous improvement of buildings, grounds, and infrastructure.

The Associate Director collaborates with internal stakeholders and external partners to deliver high-quality, efficient, safe, and operational facilities. Participates in or oversees the evaluation, hiring, supervision, and training of staff in compliance with university policies, standards, and regulatory codes. Guides personnel-related issues and staff development in conjunction with appropriate managers and Human Resources Responds to facilities related issues or events affecting campus.

Essential Duties & Responsibilities:

  • Lead, direct and supervise teams responsible for facilities maintenance & operations, including managers, administrative & maintenance staff as assigned.
  • Manage available resources to ensure timely response to work orders and requests for service.
  • Assist the AVP for ABA in the development of departmental goals, objectives, and plans and evaluating progress toward their achievement.
  • Project a positive customer service environment to both internal and external customers and promote and encourage an attitude of exemplary customer service and high integrity to all the staff within Facilities Maintenance.
  • Manage maintenance operations budgets. Provide budget recommendations to Associate VP for Administration & Business Affairs.
  • Develop and maintain standard operating procedures (SOPs) and ensure compliance with university policies, safety regulations, and environmental standards. Provide recommendations and assist with the development of departmental policies.
  • Collaborate with the Associate VP for Administration & Business Affairs, Assistant Director of Campus Facilities Custodial Operations, Director of Facilities Planning & Construction and other stakeholders on short- and long-term planning, capital projects, major events and strategic initiatives.
  • Serve as a primary liaison with contractors, vendors, and regulatory agencies.
  • Oversee departmental compliance with all applicable local, state, and federal codes and regulations including OSHA, ADA, EPA, and NFPA
  • Conduct inspections and assessments of campus facilities to identify improvement needs and opportunities.
  • Manage emergency response plans related to facilities operations and participate in crisis management planning.
  • Maintain open communications with department staff, as well as other departments. Provide effective written and verbal communications to individuals or groups within campus facilities operations and the university community. Resolve issues and concerns related to the campus facilities operations in a timely manner.
  • Respond or coordinate timely response to facility related emergencies.
  • Direct the requisitioning or purchase of related supplies, equipment and services following established University policy and procedure.
  • Support surplus property disposition activity.
  • Perform other duties as assigned.

Supervision Received: Supervision is received from the Associate Vice President for Administration & Business Affairs/Chief Business Officer.

Supervision Exercised: Directly supervises managers, administrative support staff, and maintenance support staff as assigned.

Minimum Qualifications:

  • Bachelor's degree in Business Management, Engineering, Facilities Management, Operations Management or closely related field.
  • Seven years of progressively responsible experience in facilities management or operations, with at least 5 years in a leadership or supervisory role.
  • Knowledge of building systems (HVAC, electrical, plumbing, life-safety), maintenance practices and safety regulations
  • Demonstrated ability to build relationships and inspire trust.
  • Excellent organizational, problem-solving skills.
  • Demonstrated experience in managing operational budgets and vendor contracts
  • Demonstrated commitment to providing high levels of customer service.
  • Demonstrated positive interpersonal skills, and ability to communicate effectively, manage conflict and project a positive image.
  • Ability to perform the essential functions and requirements of the job.

Preferred Qualifications:

  • Master's degree in business, engineering, facilities or operations management.
  • Facilities or operations management experience in higher education, healthcare or similar large-scale industrial complex.
  • Experience managing employees in a unionized environment.
  • Certification in facilities management (e.g., APPA CEFP, IFMA CFM)

Working Conditions: Duties are generally performed inside but will be exposed to outdoor environmental conditions on a regular basis. This position is required to move throughout the campus, including using stairways in all University buildings and ladders as needed. May be required to work outside of normal business hours, including evenings and weekends.
