Summary of Position Assists director in overseeing the day-to-day operational activities of Kilcawley Center Student Union including the management of contracted services, general work orders, supply inventory, equipment and furniture inventory, technology, and facility maintenance. Provides support in budget preparation and project development and oversight. Provides strategic leadership and direction for multiple programs or major functional areas within the department/division. Helps to plan, develop, and implement organizational initiatives with significant operational scope and complexity. Works with staff to coordinate the support for events and activities throughout the building. Supervises staff who manage student employees. Supervises management of the YSU App and Guest Services. Assumes functions of the director and executive director in their absence.
Position Information Essential Functions and Responsibilities: Supervises staff; assigns and reviews work; establishes timeframes for the completion of assigned tasks; trains and orients new employees; approves/disapproves requests for paid leaves; interviews candidates for employment and makes recommendations for hire; evaluates employee work performance; receives and responds to grievances; provides assistance with the development of unit work procedures and policies. Provides oversight and strategic direction for multiple programs, initiatives, or objectives, including supervision of professional staff. Works with director to establish priorities and goals for assigned areas; develops staffing plans; approves work plans developed by lower-level managers; develops and implements unit-wide policies and procedures. Develops, implements, and evaluates policies and procedures for assigned areas. Interprets and adapts broader organizational policies to meet division goals and the specific needs of the department. Participates directly in the strategic planning process for the department. Assists director to develop long-range plans, goals, and objectives for assigned areas aligned with broader organizational strategy. Provides oversight and supervision to professional, grad, and student facility staff. Assists with management of the janitorial contract; coordinating janitorial services daily and meets regularly with janitorial service management for inspections and compliance to contract specifications. Along with director and executive director, oversees purchasing and management of food service equipment, custodial and maintenance equipment, supply inventory, and maintenance of equipment and furniture. Submits and monitors work orders to maintenance staff when necessary and immediately reports and manages emergency situations to appropriate departments and staff. Aides with coordinating regular building inspections and evaluation of furnishings and floor coverings to maintain a high level of appearance and makes recommendations for repairs, upgrades, and replacement. Coordinates and executes limited building maintenance within the student union as directed. Along with director and executive director, manages budgets related to preventative maintenance, repair, and replacement. Works with leadership to review and set annual budgets. Works with leadership to ensure processes and procedures for budgets are aligned for productivity and long-term fiscal strategies. Works with campus operations on facility improvements and sustainability initiatives. Coordinates quarterly student union tenant meetings. Evaluates, updates, and assists in development of policies and procedures for Kilcawley Center Student Union. Assists in comprehensive assessment efforts on behalf of the office, including management of student learning outcomes, and annual assessment projects. Coordinates assessment and evaluation initiatives with the collection of data, creation of learning outcomes, development of long-range program and marketing planning, goal setting and development of reports that demonstrates how the student union complements the university's mission, strategic plan, and educational learning outcomes. Manages emergency procedures and initiatives including, but not limited to, training of student and professional staff. Serves as "essential personnel" in weather related or other emergencies. Works with staff in coordinating union reservations, event management, and guest services. Assists leadership in managing and coordinating building hours and hours of operation. Assists in the management of auxiliary based contracts such as the YSU Bookstore, Campus Vending, and Food Service. Participates on the student union senior leadership team and carries out official administrator and fiscal responsible in the absence of the director and executive director. Assists in student union and divisional programming efforts. Assists with sponsorship packages. Other Functions and Responsibilities: Assists with training new hires. Performs other related duties as assigned. Equipment Operated: Computer and all other standard office equipment. Unusual Working Conditions: Physical/manual labor, includes setting up, and moving furniture. Work Schedule: Typically, Monday through Friday. Works night, weekend, and on-call hours as needed. Minimum Qualifications: At least a bachelor's degree and four years of experience in student affairs, conference, hospitality management, and/or another related field. Preferred Qualifications: Previous supervisory experience. Experience with programming in higher education.
