Crestwood Manor is seeking a highly detailed and organized Administrative Assistant for the Executive Director! Crestwood Manor is a Springpoint Senior Living Community located in Whiting, NJ. At Springpoint, the Admin Assistant provides administrative assistance and support to the Executive Director in the coordination and management of projects and staff as deemed necessary to provide quality services to community residents. The position requirements call for approximately 30% of the time spent in a clerical capacity and 70% coordinating, delegating, supervising and managing. Responsibilities: Coordinates incoming calls to the Executive Director. Greets visitors to the Executive Director. Schedules and maintains appointments for Executive Director, and follows up to ensure proper arrangements have been made. Receives and routes incoming mail, packages, and other deliveries to the Executive Director. Word-processes standard correspondence, reports, documents, and assigned projects using Microsoft Office. Records meeting minutes for Management Team, Safety Committee, and Employee Quality Council meetings. Prepares correspondence for residents and responsible parties for residents transitioning through the continuum of care. Orders office supplies, monitors, and maintains inventory. Works in the capacity of project manager to coordinate, delegate, and evaluate the completion of projects. Works with Executive Director, Assistant Director, department managers, and corporate finance during the budget planning process. Reviews and understands the policies and procedures contained in the Employee Manual and Human Resources Policy Manual. Assists in the monitoring of resident services to ensure a greater level of resident satisfaction. Maintains a professional relationship with the surrounding marketplace, including civic and relevant agencies, groups, or organizations. Acts as Notary. Education and Experience: High School Diploma or equivalent. Three years experience in secretarial, business office or related customer service field. Must be able to type 45 words a minute. Working knowledge of computers and current word processing software.
