Pennoni Associates is currently seeking a motivated Administrative Assistant for our Princeton, NJ office who excels at managing multiple projects, supporting project teams, and being a key part of a collaborative, fast-paced environment. This in-office role is ideal for someone who is organized, proactive, and personable, with a strong sense of responsibility.
This position can be full-time (40hrs/week) or part-time (up to 32hrs/week).
Job Responsibilities
As our Administrative Assistant, you'll be a vital part of daily operations, providing administrative and project support in the office. Responsibilities include:
- Assisting with proposal and report writing
- Proofreading, formatting, and editing professional documents
- Requesting and tracking certificates of insurance
- Planning, ordering, and setting up business lunches and office networking events
- Scheduling meetings and coordinating calendars
- Running blueprints and assembling application packages
- Handling incoming and outgoing mail, UPS, and package deliveries
- Maintaining inventory and ordering office supplies
- Answering phones (infrequent) and greeting visitors at the suite door
- Processing check requests and entering invoices
- Supporting Project Managers and other administrative staff as needed
Qualifications and Skills
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Excellent organizational skills with exceptional attention to detail and accuracy
- Professional demeanor with the ability to communicate effectively with clients and agencies
- Friendly, outgoing, energetic, and dependable
- Comfortable working in a professional office environment
Target salary range: $50,000 - $65,000 (per year)
