High school diploma or GED
Special Knowledge/Skills:
- Proficient typing, keyboarding, and file maintenance skills
- Broad knowledge of computer systems
- Knowledge of correct English usage, grammar, spelling and punctuation
- Basic math skills
- Ability to use personal computer and software to develop spreadsheets, databases, and word processing
- Ability to detect and resolve problems
- Excellent organizational, communication, and interpersonal skills
Three years of secretarial experience preferably in a public education environment
MAJOR DUTIES AND RESPONSIBILITIES:
Purchasing
- Meet with vendors and sales representatives.
- Maintain good working relationship with vendors.
- Make sure the district gets the best value on technology items.
- Communicate with departments and principals on technology purchase requests.
- Process technology purchases for district as needed.
- Research new technology products for review.
- Recommend to the Technology leadership team any product updates/changes.
- Assist the Technology leadership team in writing technology bids, quotes & proposals.
- Obtain quotes from vendors for all CISD software and hardware purchases.
- Create quote sheet with backup documentation from vendors as needed.
- Create requisitions for purchase orders in the financial system.
- Enter purchase orders into the financial system.
- Place orders with vendors via email or online.
- Create inventory/delivery paperwork for all purchase orders.
- Receive and check-in orders.
- Authorize payment for purchase orders.
- Check on back orders with vendors.
- Help accounts payable with vendor invoices.
- Setup helpdesk tickets for technicians to deliver, install and inventory items received.
- Read and answer e-mails about problems and products.
- Research products being discontinued & replaced.
- Work with technicians on products and warranty issues as needed.
- Maintain records of technology purchases.
- Keep up with changes in technology
Records, Reports, and Correspondence
- Prepare correspondence, memorandums, forms, requisitions, and reports for the technology department office using personal computer.
- Compile pertinent data as needed when preparing various state and local reports.
- Maintain physical and computerized departmental files.
- Oversee all software materials and licenses for entire district.
- Compile, maintain, and file all physical and computerized reports, records, and other documents required including E-Rate.
- Maintain department timesheet records.
- Manage department travel plans and records.
Accounting
- Perform routine bookkeeping tasks on spreadsheet and financial systems to maintain budget records of bond expenditures, M&O expenditures.
- Process personnel time records including leave requests and reports; compile and submit to central office.
- Maintain and reconcile petty cash for department.
Communication
- Receive telephone calls and assist with end-users to resolve problems.
- Handle unsolicited sales calls.
- Work cooperatively with end-users to detect and resolve hardware problems.
- Communicate with technology vendors.

Other
- Order office supplies for the department.
- Maintain a schedule of appointments for the CTO.
- Receive, sort, and distribute mail and other documents to department staff.
