Department-Specific Responsibilities
Serves as the Fiscal Officer and Business Analyst for the Alumni Business Office of the Indiana University Alumni Association (IUAA) providing accounting and analytical leadership by performing a variety of complex tasks requiring discretion and independent judgment.
Serves as the backup in the absence of the Executive Director of Business Operations.
Under the guidance and supervision of the Executive Director of Finance, prepares detailed quarterly financial analysis for presentation to the IUAA Board of Managers (the fiduciary board of the IU Alumni Association nonprofit corporation) and its Finance Committee. Works with departmental budget managers to complete quarterly budget variance analysis comparing budget to actual year-to-date results. Creates standardized and customized budget reporting with advanced knowledge of the Financial Edge (FE NXT) and Advanced Budgeting Module (ABM) systems.
Provides fiscal expertise to all IUAA staff, IU alumni relations professionals, and IUAA volunteers in dealing with their respective departments and alumni organizations. Acts as the fiscal liaison on all regional campus financial matters. Provides monthly reporting, addresses inquiries, provides training and updates from IUAA.
Manages the IUAA, Inc. corporate credit card program (which is comprised of about 50 card holders), determining if use cases for having a corporate credit card is appropriate. It monitors, audits and reconciles all credit card activity to ensure that cards are being used appropriately and that the transactions post to the general ledger.
Reviews, reconciles and approves all IUAA cash receipts and transfers, including those received from the Crimson interface; prepares IUAA internal account distribution journal entry based on transaction codes; posts all transactions to general ledger.
Oversees the accounting operation for the IUAA, Inc 501 C3 ensuring that all transactions are posted to the general ledger appropriately, in accordance with GAAP. The role supervises the accounts receivables, accounts payable, cash management, and journal entry functions. This position will create and implement business processes/procedures surrounding the accounting function of the IUAA.
Prepares accounting reports and schedules as required by IUAA¿s external auditors for the annual audit of IUAA. Manages 3 weeks of on-site audit testing/work. Works directly with independent auditors, tax accounting professionals to complete audits, tax filings, and other related major projects.
Plans, develops, and delivers training programs on Business Office policies and procedures throughout the IUAA offices on the Bloomington and IU Indy campuses, Alumni Directors on each regional campus as well as IUAA volunteers. Training's ensure compliance with departmental and university financial policy and procedures.
Leads efforts to standardize all IUAA Alumni Business Operations policies and procedures into a common format while ensuring alignment with Indiana University and Indiana University Foundation policies, as applicable. Maintains policies and procedures in a central location and serve as the internal resource for policy questions.
Provides coordination for all building repairs, maintenance, and special projects with IU Capital Planning and Facilities, as well as outside vendors.
Supervises 2 Alumni Business Office financial admin staff.
General Responsibilities
Using knowledge and application of accepted procedures and standards, performs detailed financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.
Makes recommendations on policies and guidelines for division/department activities.
Controls all expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.
Prepares operating and project budget drafts. Regularly explains financial concepts to non-financial employees.
Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets.
May provide guidance to lower-level employees.

EDUCATION
Required
Bachelor's degree in finance, business, or related field
Preferred
Associate's degree or bachelor's degree in Accounting
WORK EXPERIENCE
Required
2 years of relevant experience
Preferred
2 years of administrative and management experience with institutional budgeting and planning, financial policies, purchasing, travel, contracts and grants, and auditing required
Prior experience in managing a department, school, or institute
2 years of experience with KFS, IUIE, or other Indiana University financial management systems

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
