JOB SUMMARY:
Plans, directs, and coordinates all aspects of the School Age Programs. The School Age Director must have an accurate assessment of all the school age programs and finances to ensure that the mission and goals of the association are met. Exceptional customer service by providing smooth & effective service of all programming. The School Age Director will demonstrate the character values of Caring, Honesty, Respect and Responsibility at all times.
JOB FUNCTION:
Program/Department Responsibilities
Assist in all areas of operations; assume leadership role as a cause driven leader including branch/camp supervision, staff training, planning, and daily operations.
Establishes annual departmental goals within context of agency goals and vision and ensure direct reports attain those goals
Provide leadership to all full time and part time staff by creating positive, productive work environment
Works with staff to understand retention through assessment of parent, community and member needs
Ensure all programs meet EEC licensing regulations while providing safe, enriching environment for all children
Evaluate program needs by increasing licensed capacity at sites as needed
Drive outreach and marketing to reach enrollment capacities in programs.
Ensures menu planning, snack orders, and guidelines meet HEPA standards
Provides leadership role in monthly CDLI/school age curriculum meetings
Ensure all requests, comments and/or complaints are immediately addressed. Follow up to ensure task is completed
Act in a Public Relations capacity when communicating with school personnel, parents, and potential clients
Work with leadership team in the development and execution of Branch/Camp Special Events ( Open Houses, Training events, etc.), as well as collaboration from cross department engagement
Develops and recommends new programs, processes, partnerships, strategies and approaches
Communicates with management team and affinity groups to work collaboratively to realize strategic vision and operational excellence
Recommends changes in basic direction, structure, and/or organization of department, as necessary
Maintain and reach all appropriate certifications according to Department of Early Education and Care (EEC) and Old Colony Y
Be proactive and create, implement and manage new systems, procedures, and programs to better meet the needs of our community
Support and helps to implement branch/camp Emergency Action Plan
Supervision of Personnel:
Recruit, hire, train, evaluate, supervise, and schedule school age staff
Organize and facilitate regular meetings with staff to ensure work plans are being adhered to or modified as needed, vision and goals are known, objectives are well prioritized, and tasks are well managed.
Develop tools to streamline communicate and provide resources to all staff
Provide on-going, in-service training of all assigned staff to ensure the highest standards of safety and quality
Ensure that all staff maintain appropriate certifications and trainings
Fiscal Responsibilities:
Assume primary responsibility in creating and achieving department/branch budgets and ensure prudent expenditures and cost control procedures in accordance with branch procedures and policies.
Develop, execute, and monitor department budgets
Develop and/or assist with the Annual Campaign and other fund-raising events
Adhere to all fiscal policies and procedures such as petty cash, purchase orders, employee expense forms and member balances
Formulates, administers, and monitors budget for School Age programs
Establish, meet and/or exceed predetermined budgeted numbers, mutually agreed upon with Executive Director
Housekeeping Responsibilities:
Ensure a clean, organized, and safe program space
Communicate to appropriate staff facility issues which need to be addressed in a timely manner
Volunteer/Committee/ Inter-Divisional Assignment Responsibilities:
Actively participate in the Y’s Annual Campaign
Actively promote the integration of all departments through communication, grant writing, and strategic planning to ensure growth, mutual success, and productive, professional relationships
Cultivate, train and evaluate volunteers for program involvement and Ambassador roles

EDUCATION/EXPERIENCE:
Obtain Team Leader Certification from Y-USA within 2 years from accepting the position
2 or more years of supervisory and program management experience
Bachelor's degree, in related field, preferred
Ability to direct programs through supervision of volunteers and staff, development and monitoring of budgets, marketing and public relations, program development and fund-raising
CPR/AED and First Aid certifications required
Ability to thoroughly understand Y-USA's three focus areas: Youth Development, Healthy Living, and Social Responsibility; proven ability to identify and meet the needs of the health seeker
Ability to create and sustain a culture of excellence and work and thrive as part of a cohesive team
Ability to lift/move heavy equipment and clean when necessary
Will sometimes work early morning, late nights and weekends
Strong oral communication skills required for occasional public speaking responsibilities
Excellent written communication skills and proficiency in all Microsoft Office programs
Valid driver’s license and good driving record
To ensure the overall operations of the Y and support teamwork, I will accept additional responsibilities as assigned.
