PRINCIPAL DUTIES AND RESPONSIBILITIES: Financial Management · Acts as the in-house point person for financial management. · Provides oversight of outsourced third-party accounting firm who provides day-to-day accounting services including payroll processing, accounts payable, bank and account reconciliation and month end close out. · In conjunction with outsourced third-party accounting firm, maintain internal controls and safeguards for receipt of revenue, costs, and program budgets and actual expenditures. · Ensures receivables are accurately invoiced and payments are received promptly. · Oversee and ensure proper cash management for agency activities. · Coordinate financial audit process and related activities and filing of tax returns. · Initiates fiscal management strategies to meet targeted objectives. · Assures coordination among organizational goals, long range financial planning and daily financial functioning. · Oversee and lead annual budgeting and planning process in conjunction with the Executive Director and outsourced third-party accounting firm. · Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep the leadership team abreast of NWHP’ financial status. · Responsible for the reporting of organizational activities to the Executive Director, investors and grantors; establishes and maintains procedures for capturing eligible grant expenditures. · Update and implement all necessary business policies and accounting practices. · Staffs the Finance Committee. · Represent NWHP to the public in financial matters. Human Resources · Effectively manages the human resources of the organization according to authorized personnel policies and procedures that fully conform to current laws and regulations. · In conjunction with outsourced third-party accounting firm, ensure timely completion of payroll as scheduled and assist with completion and enforcement of time and attendance procedures. · Administration of NWHP group benefits. · Use personnel procedures and policies to hire, train, and supervise assigned staff; review and revise job descriptions; establish and monitor performance goals. · Assist the Executive Director and organization staff in the hiring process, including scheduling interviews, conducting interviews with appropriate staff, new hire and benefits orientation, termination processes and personnel file management. · Monitors and provides input on the organization’s staffing levels as necessary to meet established objectives, provide high-quality customer service, and maintain proper balance between efficiency and production. · Assist with the preparation and facilitation of new program staff orientation and on-going training. Loan Servicing · Supervises of the Operations Coordinator, who provides day to day loan servicing functions. · Manages the loan servicing functions to deliver efficient and effective services ensuring compliance with applicable regulations. · Creation and implementation of processes and procedures to complete all loan servicing functions within NWHP’s purview. · Responsible for oversight of loan portfolio fund management as related to accounting functions including regular reconciliation of loan servicing accounts to general ledger accounts and processing of loan servicing transactions. Operations Management · Assists the leadership team in management of day-to-day operations of the organization. · Work closely with the Executive Director in agency visioning and planning and the building of a strong and healthy team environment. · Develops and implements proper procedures and internal controls necessary to maintain the security of all systems and confidentiality of all records. · Enforces provisions in audit and compliance manuals and grant requirements. · Maintains and updates policies, protocols and procedures information on a routine basis. · Work with the Executive Director and organization staff to ensure office and staff insurance policies are current and relevant. · Update the safety and security manual; ensure all staff are trained on safety and security protocols. · Assists in program monitoring visits and audits. · Assists Executive Director with establishing and monitoring operational, financial and performance standards for the organization. · Reviews contracts and grant agreement expectations and requirements and communicates this information to program and administrative staff as well as monitors contracts and grant agreements to ensure accuracy and total compliance. · Oversee facilities management including communication with pertinent vendors and setting and maintaining facilities budgets. · Perform all other duties deemed necessary by the Executive Director QUALIFICATIONS: Required · 7+ years of professional experience in financial management positions. Preference for experience in non-profit or housing/real estate accounting. · 3+ years’ experience in management or leadership positions. · Strong organizational and time management skills with exceptional attention to detail. · Experience planning and managing organizational change in a growing organization. Desired · CPA or advanced financial management degree. · Human resource management experience. · Understanding of computers and general IT operations. · Experience working with SalesForce.
