Primary Purpose:
The Mortgage Executive Assistant provides administrative support for all activities of the Director of National Sales.
Essential Responsibilities:
Reviews and evaluates requests and communication, and summarizes, preparing responses and/or redirecting as needed
Creates mortgage-specific reports and documentation using MS Office Suite
Analyzes large amounts of data using Excel and summarizes findings
Utilizes mortgage knowledge and experience to anticipate problems, critical issues, and opportunities as they arise
Manages and coordinates calendars and emails
Coordinates travel, including air, hotel, or flight arrangements
Coordinates meetings by scheduling, securing a location, and making catering arrangements
Attends meetings and prepares meeting minutes
Ability to travel for annual events, as needed
Prepares the monthly reconciliation of corporate credit cards and expense reports
Assists in drafting communications from the Director of National Sales to the Sales Department
Maintains the Sales SharePoint site
Assists HR and Accounting with sales employee compensation schedules and offer packets
Obeys all applicable federal laws, rules, and regulations relating to Anti-Money Laundering (AML), including the Bank Secrecy Act (BSA)
Minimum Required Skills & Competencies:
Experience using Microsoft Office Suite in a professional work environment
Possesses intermediate-level Excel skills
Has experience in Mortgage Sales or Mortgage Operations
Well organized with an ability to prioritize and multitask
Strong verbal and written communication skills
Has strong customer service skills and telephone presence
Ability to exercise discretion and sound judgment when dealing with confidential information
Ability to work independently and as a team member
Ability to demonstrate flexibility as demands and priorities change
Ability to interpret and apply policies and guidelines effectively
Desired Skills & Competencies:
Minimum of two years Administrative/Executive Assistant experience
Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship
Ability to control situations or events in the absence of a higher authority
Ability to make recommendations or decisions that affect office operations and activities
Demonstrated experience managing a complex calendar
Physical Requirements:
Express or exchange ideas by means of the spoken word via email and verbally
Exert up to pounds of force occasionally, use your arms and legs, and sit most of the time
Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation
Not substantially exposed to adverse environmental conditions
