What You Will Do Provides direct support to the principal, including attendance at all administrative meetings, taking and publishing minutes. Answers all phone calls and emails on behalf of the principal when needed. Maintains a daily calendar of appointments. Reserves rooms for use of administration meetings and board room. Makes yearly updates to the administrative and employee directory, faculty and staff birthday list, and distributes to everyone. Ensures that the names of any National Merit Scholarship students are posted on the school website. Orders and picks up all gifts for faculty and staff retiring to be handed out at the faculty luncheon. Coordinates honor roll with the academic’s assistant (including but not limited to compiling and proofing names, creating, and distributing certificates, and posting on website). Orders plaques and/or trophies to be given out at the senior award ceremony. Responsible for all aspects of Spring Awards Ceremony (including verifying GPAs, ordering awards, proofing names, and set up for ceremony). Orders flowers for sick, or deceased family members, babies etc. Mails out letters to or emails parents on behalf of the principal. Copies confidential academic/personnel files for the principal when needed. Meets with the principal daily to discuss the calendar of events for the school year and daily, weekly, and monthly projects. Creates and distributes surveys as needed throughout the year to students, staff, and faculty. Assists principal in planning workshops, meetings, and other events. Gathers and submits data for the NCEA report. Serves as backup for the academic’s assistant for organizing and proctoring make-up finals. Serves as backup for the academic’s assistant for student attendance and daily rosters during AP Exams. Is open to an evolving job description Provides support for senior activities (Baccalaureate Mass, Caps/Gowns—students and faculty, Diplomas, Senior Award Ceremony, Graduation, and Grad Night) Provides support for facilities checkout for faculty. Responsible for organizing the yearly calendar. Oversees school photography. Requirements Minimum Skills/Qualifications: Exceptional people skills. Must have a strong initiative and desire to work in a highly collaborative environment. Excellent time management skills, outstanding communication skills and extraordinary organizational skills. Be able to juggle multiple projects with superb accuracy. Deliver exceptional service both over the phone and in person to internal departments, families, and alumni. Have a strong sense of urgency. Maintain composure in high-stress situations. Have excellent problem-solving skills. Maintain the highest standards of discretion and confidentiality and bring knowledge and ability in the use of applicable technologies. A writer with excellent attention to detail. A bachelor’s degree is required. Physical Demands: While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the parish/school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
