The Better Together team seeks an Executive Assistant to the CEO. 

As the Executive Administrative Assistant to the CEO of Better Together, you will play a pivotal role in supporting the organization's mission to create positive change in communities and improve the lives of those in need. Your role will be crucial in enabling the CEO to focus on strategic decision-making, fundraising, and leading the organization effectively. You will be responsible for providing high-level (and confidential) administrative support, managing communication, coordinating activities, and ensuring the CEO's office functions smoothly. The Executive Assistant to the CEO should be a self-starter who thrives when challenged and is comfortable working remotely and finding creative solutions. It is imperative that they are a person of high character.

ROLES AND RESPONSIBILITIES

The Executive Assistant to the CEO will have four key responsibilities. They are:

1. Administrative and Operational Support

  • Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements, including booking flights, lodging, and transportation.
  • Accompany the CEO to key meetings, conferences, and events across Florida, providing on-site logistical support and ensuring smooth execution. 
  • Screen and prioritize emails, phone calls, and correspondence, drafting responses and acting on behalf of the CEO as needed.
  • Handle expense reporting, reimbursements, mailing, and other administrative tasks to ensure operational efficiency.
 

2. Donor and Key Partner Engagement

  • Conduct in-depth research on donors, prospects, key partners, and event opportunities to support strategic outreach and cultivation.
  • Maintain and update the organization’s donor and stakeholder database, tracking interactions, contributions, and key follow-ups.
  • Assist in preparing for donor meetings and events by developing profiles, briefing documents, and tailoring communication strategies.
  • Support the CEO in prospecting for new donor opportunities and deepening relationships with existing partners.
  • Coordinate logistics and ensure a professional experience for all donor-related meetings, events, and follow-ups.
 

3. Data Analysis and Reporting

  • Analyze donor trends, stakeholder data, and organizational metrics to identify opportunities for growth and improvement.
  • Assist the CEO in preparing detailed reports, presentations, and summaries for key donors, board members, and other partners.
  • Ensure timely and accurate updates to all data and records to support informed decision-making.
  • Follow up with stakeholders to gather additional information needed for reports, proposals, or ongoing projects.
 

4. Event and Travel Coordination

  • Plan and coordinate logistics for CEO-focused and strategic events, meetings, and retreats, including scheduling, travel, and preparation of materials.
  • Conduct research on high-impact events and conferences for potential CEO attendance to maximize donor and partner engagement.
  • Provide on-site support during key events and meetings attended by the CEO, ensuring smooth operations and a polished experience.
  • Collaborate with the CEO to execute high-priority initiatives and strategic engagements with donors, partners, and stakeholders.
REQUIREMENTS
  • Residence within Ft. Myers or Cape Coral, FL
  • Bachelor’s degree in business administration, Non-Profit Management, or a related field (or equivalent work experience).
  • Proven experience as an Executive Assistant or in a similar high-level administrative role. 
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills to interact with various stakeholders professionally.
  • Proficiency in office software and technology tools, including Microsoft Office Suite and Google Suite and cloud-based collaboration platforms.
  • Discretion and sound judgment in handling sensitive and confidential information.
  • Demonstrated commitment to the mission and values of Better Together.

PREFERRED REQUIREMENTS
  • Experience working in a non-profit organization, preferably in a capacity related to community development, social services, or humanitarian work.
  • Knowledge of fundraising principles and practices.
  • Familiarity with project management tools and techniques.
TIMING, LOCATION AND COMPENSATION

Better Together seeks to fill this position as soon as possible. The organization’s headquarters are in Naples, Florida, but all the Better Together staff reside in Florida. The Executive Assistant to the CEO must reside in Lee County. Better Together has built a highly successful work culture over the past decade with systems and structures designed for clarity, flexibility, and great communication. Key elements of the environment include:

  • Weekly in person meetings with clear accountability and the opportunity to solve issues as a team. 
  • Quarterly in-person team meetings at which you’ll build deeper relationships, set clear goals aligned with the Better Together vision, and brainstorm how to seize new opportunities
  • An intensive 90-day orientation to familiarize you with the Better Together team, our policies, and how we operate
  • Home office setup, including equipment and communication tools you need to hit the ground running
 

Compensation and Benefits: 

Better Together offers a competitive salary range of $60,000-$70,000 and benefits package, which includes a health benefit and generous paid leave plan. The benefits package includes:
