Overview UB Greensfelder currently has an opening for a Director of Risk Management in our Cleveland office. The position will have primary responsibility for the areas in the firm associated with risk management including client intake, conflicts, and records management. The position is responsible for ensuring compliance with internal policies regarding conflicts of interest and is responsible for capturing and disseminating new client/matter information within the firm as appropriate. The Director of Risk Management also develops and executes processes to support compliance with policies regarding matter maintenance and closure and secure records maintenance.
Position Responsibilities Oversee and establish best practices in the areas of conflicts, intake, and records management functions of the firm
Assist with and maintain the records as it relates to engagement agreements and other standard forms of correspondence
Coordinate and respond to client “counsel certification letters” or similar letters including evidence of professional liability/ errors & omissions insurance, pending lawsuits, third party vendor management policies, executed copies of engagement letters, etc.
Monitor and regularly analyze the business intake and conflicts workflow and new business approval workflow to identify opportunities for improved efficiency and training needs, and address any backlogs or processing delays
Partner with firm staff and accounting department to manage the Firm’s business intake and conflicts systems to provide functional input on issue troubleshooting, system configuration and implementation of changes to functionality or new features; and to develop training documentation for staff, lawyers, and legal support staff
Properly maintain both paper and electronic storage of records including controlling the number of records created and stored; as well as identifying which records are to be preserved or destroyed
Ensure the firm is prepared for internal and external audits by making sure records are in order to support an audit
Continually assess records management strategy and make recommendations for updates and modifications
Protect and audit information as it relates to records management to ensure that data has not been corrupted along the way
Ensure compliance with state and federal regulations to protect client privacy and records
Establish and oversee processes to capture updated information on firm engagements, support department leadership in managing matter transfers/reassignments associated with lawyer integration and departures; identify and communicate matters targeted for closure, and effect matter closures in compliance with firm policy
Work with the General Counsel to develop and deliver training to lawyers and legal support staff on firm policy, processes, and procedures related to the risk management process
Responsible for management and development of direct reports
Assess the needs and skill of staff members and provide ongoing feedback on performance, conduct regular performance evaluations, and conduct coaching/counseling sessions when performance improvement is needed
Qualifications A Juris Doctorate from an ABA accredited law school
A minimum of 6 plus years’ experience in conflicts within a law firm or professional services environment
Certification through a bar association is preferred
Ability to research, analyze, and synthesize information with minimal direction
Excellent organizational skills including record keeping, data collection, and system information
A commitment to providing superior service to the firm’s attorneys, advisors and staff, while maintaining an atmosphere of teamwork and continuous improvement
Ability to multi-task with strong communication skills to maintain effective relationships both verbally and through written communications
Experience working with Aderant, Elite, ProLaw or equivalent and Dunn & Bradstreet
Advanced proficiency and extensive experience in Microsoft Excel
Strong initiative to proactively increase value to the position; willingness and ability to assume new tasks and responsibilities
