The Director of Estate Management at Harwick Homes is responsible for overseeing the "Maintain It" program , which offers annually-renewable contracts for residential homes. This program caters to a discerning clientele and may include services such as inspections, maintenance and repair, and renovation work.
Preventive Maintenance: The program aims to maintain the integrity and value of homes through proactive, routine maintenance.
Comprehensive Services: The Director oversees a team that coordinates various services including electrical, plumbing, HVAC, pool maintenance, and other providers.
VIP Service: The program provides a streamlined VIP service where clients have a single point of contact and receive priority in case of hurricane or storm damage.
Record Keeping: Extensive maintenance records of properties are kept and maintained.
Trade Partner Relationships: The program leverages relationships with preferred trade partners, ensuring prompt attention and high-quality service.
Renovation Work: The "Maintain It" program also includes renovation services, offering transformations ranging from kitchen remodels to redesigning entire homes. Harwick Homes emphasizes innovation, custom features, and the use of fine materials and skilled craftsmen in its renovation projects.
Client Satisfaction: A primary objective of the program and the Director's role is client satisfaction
Experience with high-end residential construction with and emphasis on renovation and service/repair work.
Must possess excellent written and verbal communication skills
Computer literate: Builder Trend, Microsoft 365, Windows, MS Word, MS Excel, MS Outlook, Internet research
Ability to read, analyze and interpret all types of job plans, engineering drawings and specifications at an expert level
Ability to understand schedules and job sequencing
Extremely organized, precise and detail oriented
Able to handle a high volume; working quickly, efficiently and accurately
Ability to prioritize and organize work responsibilities
Professional and conscientious
Positive attitude with the energy to fulfill all job responsibilities

The following is a list of main responsibilities. They shall include but are not limited to:
PLAN and SCOPE DEVELOPMENT
Manage and document all documents associated with Maintain It program along with small renovation projects
PLANS
a) Coordination between Architect, Landscape Architect, Mechanical & Structural Engineers, Designer and clients until final plans are issued and subsequent changes thereafter
b) Distribute final plans to vendors, superintendents, designer, homeowner, etc
BUDGETS and SCOPE OF WORK
a) Develop 'Invitations to Bid' by clearly defining the scope of work for subcontractors on all projects, including those that have incomplete or no plans
b) Schedule job site meetings with trades
c) Catch plan discrepancies and identify potential problem areas
d) Provide accurate and detailed budgets in a timely fashion (supported by comprehensive subcontractor proposals and historic cost data)
e) Create the written 'Scope of Work' based on plans, bids and allowances
f) Analyze bids and review for accuracy
g) Secure the best prices from the best qualified subcontractors
h) Enter Purchase Orders
i) Enter Change Orders
j) Manage the budget throughout the construction process
k) Review the scope and budget with the superintendent for their feedback and "buy in"
INVOICES
a) Review, code and approve all invoices accurately
b) Check invoices against proposals
c) Resolve invoice discrepancy's with trades
d) Be aware of "new to us" trades and initiate necessary paperwork with accounting for set up
e) Review project job cost prior to billing cycle. Clearly identify miscoded invoices and advise controller
f) Review monthly client billing and approve
DESIGN REVIEW
a) Assimilate forms, plans, paperwork, samples, checks etc for initial submission and approval
b) Coordinate subsequent revisions
c) Track deposit refunds
PERMITTING
a) Review Due Diligence worksheet as to FEMA etc.
b) Gather all legal information
c) Acquire survey from owner/surveyors
d) Coordinate customer signatures on TUGs, Resource Conservation, etc.
e) Generate NOC
f) Obtain engineering: truss, structural, mechanical, entry doors
g) Assimilate plans, paperwork, checks etc for building permit submittal
h) Acquire permits as required and digitally file all completed permits
i) Coordinate any subsequent revisions
j) Certificate of Completion at end of job
COMMUNICATION
a) Send New Customer Introduction Form
b) Create and send contract and scope of work
c) Create a 'Due Dates Schedule' and review with client
d) Create weekly 'Progress Reviews' (accurate update of project status, completed and upcoming work, decisions needed)
e) Clearly communicate schedule updates
f) Clearly communicate and document all 'Design Selections'
g) Create and manage 'Change Orders and Allowances' (get to client monthly prior to billing cycle)
h) Anticipate clients' needs, be proactive
MEETINGS
a) Schedule meetings with client, vendors and design team
b) Create agendas prior to meeting
c) Issue follows up with summary notes within 24 hours
JOB CLOSE OUT
a) Review job close out procedures with client
