Purpose
Since its inception in 1909, Picnic Day has become the crown-jewel event of the UC system and the signature event of UC Davis. One of the largest student-run events in the nation, Picnic Day showcases the richness of diversity and achievement at UC Davis and the surrounding community in the areas of research, teaching, service, and campus life.

Animal Events Director: This role serves to coordinate the animal events on Picnic Day.
Business Director: This role serves to manage the budget & business functions.
Children’s Discovery Fair Director: This role serves to organize the Children’s Discovery Fair on Picnic Day.
Entertainment Director: This role serves to arrange all the entertainment stages & performers.
Exhibits Director: This role serves to coordinate the exhibits on Picnic Day.
Operations Director: This role serves to plan day of logistics for Picnic Day.
Parade Director: This role serves to organize the Picnic Day parade.
Publicity Director: This role serves to manage all forms of Picnic Day media.
Special Events Director: This role serves to promote Picnic Day through events during the year.
Student Organization Fair Director: This role serves to organize the Student Organization Fair on Picnic Day.
Technical Director: This role serves to manage the website & technical needs on Picnic Day.
Transportation Director: This role serves to organize the transportation logistics for Picnic Day.
Volunteer Director: This role serves to recruit Picnic Day Assistant Directors, General Members, and volunteers. Duties

Attend office hours
Prepare end of the year report Animal Events Director: Outreach and maintain strong relationships with animal organizations throughout the year
Collaborate with various animal organizations to coordinate applications, confirmations, and waivers to adhere to health & university guidelines
Organize event needs with campus partners including: electrical, water, restroom, fencing, and general field space Business Director: Manage all purchase orders, reimbursements, recharges, and other internal budget usage
Maintain sponsor relationship & income by updating sponsorship package and upkeeping strong communication
Work with Chair to create budget for next year
Prior experience in google sheets/Excel & budgeting recommended Children’s Discovery Fair Director: Identify and create activities for children on Picnic Day including but not limited to crafts, games, entertainment, and educational activities
Manage craft budget usage & craft parties
Organize decor, site plan, and according waivers to adhere to health & university guidelines Entertainment Director: Outreach and maintain strong relationships with performers throughout the year
Review entertainment demos, organize performers to stages, and create the entertainment schedule & introduction of performers
Request and organize waivers and agreements to adhere to university guidelines Exhibits Director: Outreach and maintain strong relationships with campus departments & partners throughout the year
Coordinate applications, waivers, and other supplemental materials with campus departments to ensure their exhibits adheres to university and health guidelines
Lead weekly meetings with UCD Risk Management and Environmental Health & Safety Operations Director: Collaborate with campus partners to organize all food vendors, campus site plans, and other decor around campus
Organize the number of generators, tables, chairs, canopies, etc… for all events
Assemble required items, staff, and check up on Information Booths during the weeks leading to Picnic Day & on the day of Parade Director: Outreach and maintain strong relationships with entries throughout the year
Coordinate applications, fees, and waivers with entries to ensure their group adheres to university and health guidelines
Organize logistics of parade including but not limited to the line up, staging, and announcer scripts Publicity Director: Update and maintain social media presence
Work with Directors to collaborate on outreach plan throughout the school & local community
Coordinate with campus partners for press releases, press passes, poster distribution, and local advertising opportunities
Prior experience promoting on Instagram, Facebook, and Tiktok recommended Special Events Director: Work with Directors to collaborate on Fall Quarter “Picnic in the Park” to introduce Picnic Day
Organize banquet for alumni & board members
Supply games and explore potential for day of Picnic Day activities Student Organization Fair Director: Outreach and maintain strong relationships with student organizations throughout the year
Collaborate with RSOs and CSI to coordinate applications and confirmations to adhere to health & university guidelines
Organize event needs with campus partners including: electrical, water, fencing, and general Quad space Technical Director: Work with Directors to collaborate on a Universal Application for all events & internal Board and external data analytics
Update Picnic Day website periodically as needed and requested by other Directors
Coordinate usage of sound equipment on Picnic Day including but not limited to speakers, mixers, microphones, and radios
Prior experience using and managing sound equipment & website creation recommended Transportation Director: Coordinate with Transportation Services and Police to plan parking and traffic management system for visitors and vendors
Work with Directors to ensure all required parking spaces are reserved for Picnic Day
Create parking and driving route maps for internal team use and vendors Volunteer Director: Recruit 45 Assistant Directors and manage the interview and hiring process
Recruit General Members and manage the interviews, hiring process, and engagement throughout the year
Recruit volunteers as necessary and delegate responsibilities on Picnic Day Skills
