This hybrid position offers the perfect blend of administrative leadership support and hands-on accounting experience, ideal for a detail-oriented professional looking to expand their skill set in a collaborative, growth-focused environment.Position OverviewThis dual-function role provides support to our Director of Operations while managing key aspects of our accounts receivable and billing processes. You'll work in a flexible hybrid environment, spending three days per week in our vibrant San Francisco office and two days working remotely.Key ResponsibilitiesAdministrative Assistant Duties (50%)Provide comprehensive executive support to the Director of Operations including day-to-day administrative support, HR support, meeting coordination, and assistance with event planningPrepare reports, presentations, and correspondence on behalf of the DirectorManage and prioritize incoming communications and requestsMaintain confidential files and documentationAssist with special projects and strategic planning activitiesSchedule and coordinate meetings with partnership and staffAccounts Receivable / Billing Duties (50%)Generate and distribute customer invoices accurately and timelyProcess payments and maintain accounts receivable recordsFollow up on outstanding balances and manage collection activitiesReconcile customer accounts and resolve billing discrepanciesPrepare aging reports and communicate status to managementCoordinate with partners and senior counsel regarding aged A / R account issuesMaintain accurate customer billing information and payment termsRequirementsRequired QualificationsBachelor's degree or equivalent combination of education and experience2+ years of administrative support experience, preferably supporting executives1+ years of accounts receivable or billing experienceProficiency in Microsoft Office Suite (Excel, Word, Outlook)Experience with accounting softwareExperience with document management softwareStrong organizational and time management skillsExcellent written and verbal communication abilitiesHigh attention to detail and accuracyAbility to handle confidential information with discretionProfessional demeanor and strong interpersonal skillsPreferred QualificationsExperience in a fast-paced, growing company environmentPrevious experience supporting executivesUnderstanding of basic accounting principlesFamiliarity with collection procedures and customer service best practicesWhat We OfferCompetitive salary commensurate with experienceComprehensive benefits package including health, dental, and vision insuranceFlexible hybrid work schedule (Tuesday-Thursday in office)Professional development opportunitiesCollaborative and supportive team environmentOpportunity to grow skills across multiple business functionsModern office space in San Francisco with excellent amenitiesWork-life balance in a company that truly values its employeesWhy You'll Love Working HereOur company culture emphasizes collaboration, innovation, and employee growth.
