Job Description
The Account Project Manager will be instrumental in helping to grow the business and drive future success. This person will work closely with the Sales Staff, coordinating the development of client solutions, project development, and assisting in developing strategic frameworks, managing timelines and delivery, and providing day-to-day contact with the client. Above all, you will be an advocate for breakthrough work. Success in this role translates to meeting client expectations for each project.
The speed to market is an industry differentiator for the Outform Group will continue as the markets we serve, grow, and evolve. The Account Project Manager plays a key role in making that happen.
Responsibilities
- Assist Sales Team: By managing each project on a daily basis allowing him/her to focus on ‘Sales’ capacity or function.
- Sales Executive back up during times of absence
- In-house client contact
- Following through on projects whether in design, estimating, or production
- Preparing Sales Executive’s correspondence for price confirmations and order acknowledgements.
- Maintain Client Relationships: By satisfying client needs and/or requests related to each project.
- Resolve scheduling conflicts with the client and internal team members
- Ensure displays are shipped properly – method and level of shipment
- Follow up on client deliverables, examples are:
- Pricing approvals
- Artwork deliverables
- Sample approvals
- Product Comp Requests
- Distro List Needs
- Brand DNA that must be implemented
- Establishing shipping terms
- IF NEW CLIENT - Help client establish and maintain credit
- Strengthen client relationships and attend client meetings.
- Learn the client business and become the expert in customers’ process: team structures, approval process, deployment system, all store operation process, line review dates, etc.
- Report on project status; design, estimate, production
- Using Smartsheets but also providing constant communication with all key players
- Expedite project approvals
- Special customer requests
- Manage Client Supplied Goods - Resolve and report on incoming/outgoing shortage discrepancies.
- Ensure Company Policies compliance and adhere to department procedures including (not limited to):
- Safety, Credit
- Project initiation
- Estimating
- Quality
- Order Acceptance
- Ensure written quotes are properly prepared and disseminated to client.
- Ensure order acknowledgments are properly prepared and disseminated to client.
- Ensure information is provided to correct individuals to obtain delivery schedule commitment.
- Project Management: By staying on schedule, hitting all milestones and escalating late deliverables that could jeopardize client relationships and company margins.
- Managing all project schedules
- Scheduling all key meetings - Examples are: Design Kick-off Meeting, Engineering Kick-off Meeting, Client Meetings related to project progress, Prototype Related Meetings (for sign-off & check ins), Engineering Release Meetings, Job Release Meetings, etc.
- Manage projects involving complex work streams and cross-functional collaboration (internally and externally).
- Due dates & escalating concerns on missed dates/milestones are addressed with a sense of urgency
- Present problems with solutions
- Setup prototypes and other Innovation Center Activities.
- Organize client specific information such as planograms, store surveys, etc.
- Ensure 100% of projects are delivered on time and on budget.
- Data Entry: In internal systems and forms required for each job as it progresses. This includes:
- Design requests
- Estimate requests
- Production requests
- Ensuring compliance with company’s credit policy for each order.
- Assisting sales executive with daily schedule.
- Ensure all required information is properly gathered and submitted to the sales executive to complete the Production Order and relay this information to the Production Department.
- Support Production Department: Provide team with all order details: Enabling them to perform their duties with efficiency and establish the communication link between our Production department and the customer.
- Identify cost efficiency and value engineering approach for additional margin improvement and marketplace completeness.
- Expedite project approvals and work on other customer requests, actively monitoring customers satisfaction.
- Ensure internal compliance with contract, design, credit, quote, estimating, quality, terms and conditions agreed upon and any other business documents and procedures; Keep paperwork on file.
- Provide support so Sales Lead can focus on New Business Development 80% of the time.
- Develop and nurture client relationships, measured by positive client feedback.

Physical Requirements
- Must be able to sit up to 6-8 hours per day.
